Garment Sampling Process: From Prototype to Bulk Approval
STX Garment Buyer Guide
Garment sampling turns a design brief into an approved production reference. The useful sequence depends on the product and project risk: confirm the specification, make the necessary sample, record corrections and approve the final materials and construction before bulk release.
Agree on the Sampling Scope First
Share the current tech pack or development brief, reference photos, intended fit, fabric requirements, artwork, trims and target quantities. Identify any missing information. Agree on what the sample is meant to prove, which materials it will use, the charge, revision scope and expected timing.
STX uses an indicative sampling window of 7–10 days for a confirmed sample scope. Actual timing depends on material availability, decoration, development work and revisions. Confirm when the clock starts and whether sourcing or transport is included. A sample dispatch date is different from arrival at your address.
Common Sample Stages and Their Purpose
| Stage | Purpose | Approval question |
|---|---|---|
| Development / prototype | Review the design interpretation and construction | Does the garment match the brief? |
| Fit sample | Assess measurements, proportion and movement | Are corrections and base-size measurements agreed? |
| Decoration or material approval | Check print, embroidery, fabric and trims | Are the actual components and appearance approved? |
| Size-set review where needed | Check the intended size range and grading | Is sizing consistent with the agreed specification? |
| Pre-production approval | Confirm the agreed bulk-production reference | Are materials, construction and open issues released? |
These are possible stages, not a promise that every order needs five separate samples. A repeat approved style may require less development; a new wash, complex patchwork or uncertain fit may need additional checks. Confirm the project plan rather than assuming one sample resolves every detail.
Inspect the Sample Against a Checklist
- Style code, version and whether any materials are substitutes.
- Measurements using the agreed points of measure and units.
- Fit and proportion on the intended wearer or fit standard.
- Fabric hand feel, color, construction and finishing.
- Seams, pockets, closures, rib, trims and label position.
- Artwork dimensions, color and placement.
- Agreed care or performance checks and their results.
- Packaging details when included in the sample scope.
A substitute fabric or provisional trim should be labeled. Approval of that prototype does not automatically approve a different final material. Record the actual material and any remaining approval conditions.
Give Feedback That Can Be Implemented
Use one consolidated feedback sheet. Name the issue, show an annotated image, state the required measurement or appearance, and link it to the revised tech pack. Separate must-fix corrections from optional design changes. Ask the manufacturer to confirm the interpretation and the impact on sample cost or timing.
For example, “adjust chest width to the revised table, using the same defined measuring point” is clearer than “make it less oversized.” Do not issue competing changes across several messages without updating the controlled specification.
Release Bulk Only After Written Approval
Approve the final specification, material and decoration references, size range, quantities and remaining exceptions. Keep the approved sample and version record available for production and inspection. Confirm the production slot and milestone dates in writing.
STX’s indicative bulk-production window is 30–45 days, subject to the confirmed order, materials, approval status and production schedule. Sampling, sourcing, revisions and freight should be planned separately unless the agreed quotation states otherwise. Do not calculate the shipment date from the first inquiry alone.
Review Sample Capability and Product Examples

Sampling FAQs
Is a first sample ready for bulk production?
Only if it meets the agreed specification and all required approvals are complete. Open corrections or substitute components must be resolved.
Are samples always free?
No. Confirm development, material, decoration, revision and shipping charges in the sample quotation. Any credit arrangement must be agreed in writing.
Do revisions restart the timeline?
They can change the schedule. Confirm the scope and dates after feedback rather than assuming the original timing still applies.
What should I keep after approval?
Keep the approved sample, current tech pack, material and decoration approvals, feedback record and written bulk-release conditions.
